Run the program by:
-
If you have Financial Controller you can run the program by clicking the button on the Sage Line 50 Invoicing module tool bar.

Or by selecting “Adept Tools” and then “Back to Back ” from the Windows Start Button / Programs Menu.
Options Screen - This is where you configure how you want the program to operate

Program Mode
- Select whether you want the program to create Purchase Orders from Invoices or Sales Orders.
Cross Reference Fields
The program will cross reference each Purchase Orders that it creates with the source Invoice or Sales Order.
- Choose which Invoice / Sales Order field will be used to hold the Purchase Order Number from the drop down menu on the Purchase Order Number box.
- You can also choose which Purchase Order field will be used to hold the Invoice / Sales Order number from the drop down menu on the Invoice / Sales Order Number box.
- The default settings will suit most situations.
- N.B. If multiple Purchase Orders are created from a single Invoice / Sales Order only the first Purchase Order number will be recorded in the Invoice / Sales Order record.
Display Records
This is where you define how the program should know whether a record has been processed or not.
- Type is Quotation.
New orders are entered as type Quote. The program will switch them back to type Normal after it has processed them.
- Type is Proforma.
New orders are entered as type Proforma. The program will switch them back to type Normal after it has processed them.
- PO Number has not been entered.
The program looks to see whether the Purchase Order Number has been entered in the Cross Reference field mentioned above.
Recent Record Selection
- In the Recent Record Selection you can define how many days old an Invoice / Sales Order should be before it is no longer regarded as being recent.
- The "Recent record pointer is currently" box is maintained by the program and you should not normally alter it.

Ignore Invoices/SOs up to Number
- Enter the Invoice or Sales Order number that you had reached at the point at which you started using this program.
Use the current system date for the PO date
- Tick this box to use the system date for the Purchase Order.
- If you untick the box, the program will copy the Invoice / Sales Order date.
If no supplier A/C ref use
- If you enter a Supplier Reference in this box the program will use it whenever the Suppliers Ref field in the Product record is blank.
Append the stock category
- If you tick this box the program will add the product's Stock Category code to the default Supplier Reference entered in the previous box.
- The Stock Category is padded with leading zeros to make it 3 digits so if your default Supplier Reference is ZZZZ and the Stock Category is 2 you will get ZZZZ002 .
- You should create supplier records in Line 50 to match all the possible permutations that could be created.
If you enable this feature, the program will split a single Invoice or Sales Order whose product lines all have a blank or ZZZZ supplier ref into multiple Purchase Orders. Each Purchase Order will contain all the lines for one particular Stock Category.
Transfer type M message lines
- Tick this box if you want the program to copy Invoice / Sales Order lines that have the special M product code.
Transfer type S1, S2 and S3 special lines
- Tick this box if you want the program to copy Invoice / Sales Order lines that have the special S1, S2 or S3 product codes.
Transfer type S1, S2 and S3 amounts
- Tick this box to copy the amounts on S1, S2 and S3 lines.
- If you untick this box S1, S2 and S3 lines will be transferred with zero amounts.
Carriage product code
- If you have a Product Code that is used for entering Carriage Charges enter it in this box.
Transfer carriage lines
- Tick this box to copy Invoice / Sales Order Carriage lines to the Purchase Order. This only applies to lines with the "Carriage Product Code" entered above.
Transfer carriage amounts
- Tick this box to copy Invoice / Sales Order Carriage amounts to the Purchase Order.
- This applies to lines with the "Carriage Product Code" and footer carriage entries

If Quote has already been processed the Purchase Order Number will be shown here. |
- If a quote has already been processed it will be displayed in red.
- Select an Invoice by clicking on it. The row will be highlighted dark blue and the Invoice Number will appear in the Invoice No. box.
- Scroll the list up and down with the scroll bar at the right hand side.
Process Button
- Click this button to create the purchase orders for the currently selected quote.
- If there any problems such as missing supplier codes an error message will be displayed.
- After the purchase orders have been created the quote is automatically switched to being a product invoice.
- The entry in the list will turn red and the first purchase order number will be displayed in the PO (Purchase Order) column.
- The next time the list is refreshed the entry will disappear.
Recent Button
- Click this button to only show recent quotes.
- Clicking this button again will refresh the list.
Full List Button
- Click this button to show all quotes.
- Clicking this button again will refresh the list.
- N.B. this option is slower than the Recent option as the program has to scan the entire Invoice file.
Exit Button
- Click this button to exit from the program.

Simple and Straightforward
Installation of Sage 50 Back to Back Ordering addon is simple and straightforward and should take no more than a few minutes. Comprehensive step-by-step instructions are provided.
Prior to installation you will need to:
- Ensure that you have installed all the appropriate patches and updates from the Sage update site for your version of Sage (comprehensive notes are provided with the download)
- Obtain from Sage a Serial and Activation key to enable '3rd Party Integration'.
Notes and telephone numbers are provided with the download but Sage will want to know the main serial number for your copy of Sage and the version number - found by going to Sage 50,'s HELP / ABOUT menu option.
N.B. The same 3rd Party Integration keys can be used for all addons that require them.
